Learn how renewal decisions actually get made
Interview a small set of recent renewers and non-renewers about who decides, how long it takes, and what they looked at. Do not assume the person receiving the email is the person who approves.
Start earlier, with something useful
Replace one notice with a short sequence: an early heads-up, a summary the customer can forward, and a final reminder. Each message should offer a different, useful thing rather than repeating the date.
Check state before every send, and stop the sequence once the customer renews, cancels, or replies.
Make concerns visible while they can still be fixed
Offer a direct way to say something isn’t working before the charge. Route those replies to a person, and note what you learn. Do not promise outcomes the team cannot deliver.
