Review what remains unresolved

Summarize the buyer’s question and check that the proposed answer is accurate. Keep source notes with the handoff so an automated draft cannot quietly invent a detail. Where the product cannot meet the need, say so.

Ask whether the next action gives the buyer useful information or merely moves your own funnel forward. Another meeting may be appropriate, but it should have a clear purpose.

Connect marketing and the human owner

Identify who will respond when the buyer replies. Stop generic follow-up when a real conversation is under way, the opportunity changes, or communication is no longer appropriate. Confirm these rules in the actual CRM and messaging tools.

Use a safe internal example to test what happens when a reply arrives, a meeting is scheduled, or the opportunity is closed. A finished email draft is not a completed workflow.

Evaluate usefulness without mind reading

Look at whether the open question was resolved and whether the next conversation is relevant. A reply can be a useful signal without being a qualified opportunity. Keep those stages distinct and record why an opportunity is considered qualified.
